Contract Maintenance Manager

Job Description

• Leads and supports development of contract administration program
• Manages and administers 3rd party contracted services for site to ensure overall service delivery in accordance with terms, service level agreements, schedule adherence, etc.
• Assists in developing and implementing new/improving existing policies and practices to address changing internal and external contracting requirements
• Negotiates, administers and monitors various types of subcontracted service to include level of effort / cost reimbursement type contracts, time and materials (T&M), firm fixed price (FFP), etc. in accordance with approved business strategies
•  Manages / oversees bidding process and prepares agreements and related contractual documents with supplier. Prepares/reviews subcontracts, teaming, consultant and nondisclosure agreements
• Assesses complex cost proposals and performs cost analyses. Ensures contract / subcontract modifications and awards meet compliance, completeness and accuracy standards and policies. Plans and conducts post-award conferences and debriefings
• Manages relationship with third-party contractors / vendors engaged in operating and maintaining site properties and assets
• Holds period contract reviews with vendors to ensure both parties are performing according to terms and conditions. Conducts yearly site orientation for all 3rd party service providers
• Maintain continuous surveillance of status and progress of the contract and potential areas of difficulty and recommends corrective actions to ensure conformance with contract obligations
• Oversees and performs ongoing contract reviews and performance audits and conducts monthly or other appropriate internal review of service level Key Performance Indicators (KPI) to ensure company is receiving full benefit of services
•  Attends subcontractor kickoff meetings held prior to mobilization to provide support and necessary information on invoicing expectations and procedures
• Oversees the planning and scheduling of onsite services and coordinates with impacted internal teams to ensure site is prepared for service calls and other related activities
• Point person to address issues with warehouse management and also manages cost and utilizes storeroom KPI data to ensures excess inventory is controlled
• Leads and manages site facilities maintenance efforts including items such as (but not limited to) snow removal, building maintenance (lights, roofing, doors, plumbing, painting, windows, etc.)



  • Minimum of 4 years of related contract experience with a Technical/Associates degree 
  • Minimum of 8 years of related contract experience with High School diploma or equivalent
  •  3 years of supervisory experience is required
  •  Ability to leverage computerized maintenance management systems (CMMS) and other AI systems (i.e. PLR,DCS, etc.) to extract information necessary to coordinate and schedule services and track performance
  •  Demonstrated ability and depth of working knowledge of contracts pricing and financial controls
  •  Ability to negotiate routine contract amendments, as well as ongoing cost and schedule impacts related to change orders, delays and contract modifications
