Logistics Administration Specialist

Job Description

Execute Freight Payment Processes and Procedures
- Oversee EDI processing, including identifying and resolving issues. Check daily reports and ensure issues are resolved. Proactively work to reduce transaction failures and ensure standards are being followed.
- Review, audit and approve freight payments for assigned carriers.  This involves EDI ERS and paper invoicing.
- Serve as backup for freight payable roles
- Evaluate and reconcile vendor statements and manage inquiries
- Maintain contact and relationships with carrier receivable departments
- Process and charge back Stepan Mexico freight invoices.  Work with Mexico and carriers to resolve discrepancies.
- Obtain approval and account information for extra shipment charges from the Supply Chain Finance Manager/US Plants/Transportation
- Audit carrier billing and resolve discrepancies
- Review and resolve aged payables monthly for Stepan and assigned carriers
- Resolve missing and inaccurate information
- Prepare and submit carrier disputes and claims.
Financial Management and Leadership
- Provide input and contribute to freight pay workflow and improvements
- Execute financial payments per transportation contracts and agreements
- Audit carrier billing and resolve discrepancies.  Request corrected invoices and process changes to address issues.  Ensure vendor compliance with company policies.  
- Process and administer customer billings, including documentation, summary reports with supporting detail as required.
- Partner with Transportation, Manufacturing Procurement and AP to accomplish objectives.
Freight Pay Processes and Procedures
- Participate in the development and implementation of strategic plans
- Develop strategies and new procedures and execute improvements to improve freight pay processes.
- Subject matter expert on fright pay processes.
- Participate in and drive continuous improvement efforts in collaboration with other stakeholders and functions internally and externally.
- Other duties as assigned by Senior Manager Global Supply Chain Finance
Freight Pay Strategies and Process Utilization, Analytics and Metrics.  
- Assist in the creation and distribution of new reports to better understand and track logistics spend
- Design, develop and create monthly performance metrics to track freight savings. 
- Maintain relationships with plant, transportation procurement, and A/P contacts
- Resolve invoicing and rate issues and provide input to Transportation to improve rate management.
Technology
- Provide training and drive correct/optimized use of SAP as it relates to logistics payments
- Identify and drive technology improvements related to freight pay including electronic invoicing and connectivity to transportation planning systems.
- Partner with other members of AP, IT and Supply chain to proactively address opportunities, drive process improvements and ensure best practices are in place
- Review new technologies and help identify and implement improvements

Qualifications

- 3-5 years experience required

- 5-8 years experience preferred

- SAP experience preferred

Education

- High School Diploma Required

- Bachelors Degree Preferred
